So whether it is scheduling focus time to focus on family events or around necessary work meetings, you can organize your day. And you can do so by also ensuring you face no distractions during your focus time.

When you use Google Calendar, you can learn how to better manage your time, processes, and workload. Google Calendar can help you improve your time management, not only with schedules for work meetings, international calls, and family birthdays but also for focusing on the time needed to complete essential tasks. You’ll need to take advantage of several other Google Calendar functions before getting the most out of your focus-time planning so that you don’t miss important events or double-book something on your work, personal, and family schedules.

First, let’s review some of the basics of Google Calendar. These include scheduling appointments, synchronizing calendars to ensure shared events are not missed, and setting up task managers.

Google Calendar Basics

Google Calendar offers basic features that can make even the unorganized user a master of their own time. Google Calendar is time management and scheduling device created by Google. It allows users to schedule appointments, organize daily tasks, schedule reminders, and even automatically reject meetings that occur during pre-designated periods of focus time needed to complete tasks.

Google Calendar can be integrated with other applications to make scheduling easy. For example, a user can schedule a Google Hangout call with the click of a button.

Google Calendar Syncs Multiple Calendars

If you work off of multiple calendars that display a variety of upcoming events, either personal or business, things can get confusing. Thankfully, you can sync these calendars into one to capture a complete look at your scheduled events. This is important if you are trying to carve out needed time for focused work without missing other occasions that demand your attention.

The Google Calendar synchronization feature allows you to see all of your calendars in one place. First, open your Google Calendar. select the “settings menu” icon, which looks like a gear, then click “settings.” Scroll to “import & export,” and export the calendar you need to merge into yours. Then, go to your main calendar and select the “settings menu” icon again, then “settings.” Scroll to “import & export,” then import the selected calendar into yours.

Repeat these steps for all calendars that include your events and appointments. These can consist of work team calendars, vacation calendars, family calendars, social calendars, and others you might use.

Google Calendar Automatically Adds Holidays

Now that you have added all relevant work and family calendars to yours, you can also account for religious and national holidays. These can be added to your calendar to help keep you organized for focused work. For example, holidays can impact a deadline for a project that requires you to schedule focus time to complete the task.

It is essential to know any holidays that can affect your ability to meet the deadline and have them on one calendar. If you work with colleagues in different countries, you can add those holidays to your calendar.

First, sign in to Google Calendar. Then, under the “my calendars” tab, hover over and select the three dots beside your calendar. Next, click “settings and sharing,” and under “add calendar,” click “browse calendars of interest.”

Here you will find different religions; select the box for the nation or religion you need to add to your calendar. Again, working with colleagues or clients in other countries can help keep you informed about those holidays. If you prefer to choose individual holidays to add to your calendar, you have the option to do it one at a time.

Google Calendar Manages Tasks

You can ensure you have the time needed to focus on work or any other important task by managing all tasks in one place. Google Calendar allows you to add daily tasks, which can help identify when they need to be done and arrange them around your focus time.

First, access Google Calendar. On the right side, you will see the “tasks” tab. Click on that, then click on “get started.” Click “add a task,” then type in the relevant information about the task. You can select the pencil icon to add deadlines for the tasks and additional tasks required for individual projects.

Google Calendar’s Focus Time

Now that you have organized your calendars and put everything in one place, you can benefit from focus time. Google Calendar offers the focus time feature to reduce distractions. The focus time feature is included in the Google Calendar school or work account. When you add this event to your calendar, it blocks the time you have selected for you to focus on the task that needs to be completed.

First, access Google Calendar. Select the day and time on the calendar that you need to add the focus time. Above the new event, select “focus time.” You can adjust the start and end time. Once you’ve completed the entry, click “save.”

Repeat Focus Time

If you need to schedule focus time for multiple days, you can repeat your entry in Google Calendar. This is helpful if you are scheduling your work week and need to regularly set aside focus time recurring. This will create the necessary structure in your week to complete essential tasks.

First, click on the focus time appointment you need to repeat in the Google Calendar. Then, select the “down arrow” beside the “doesn’t repeat” option that prevents the event from repeating. Next, select how frequently you need to repeat this focus time from the drop-down. This will then duplicate the event on other days to carve out the focus time you need during work.

Make Focus Time Private

If your Google Calendar is shared with colleagues or relatives, you may not want others to see your focus time on your calendar. In addition, some people may wrongfully interpret focus time as “free time” and think you are available during these periods. Google Calendar allows you to change your privacy settings for the event. You can make it either public or private. If you need to make the focus time private, you can change the privacy settings.

First, below the calendar’s name, select “default visibility.” Besides “default visibility,” select the drop-down button. Here you can choose either public or private to set who can view the event.

Decline Meetings During Focus Time

While carving out focus time for yourself to complete important tasks is essential — you also want to avoid distractions from others. Google Calendar allows you to automatically reject meeting invites during your scheduled focus time. If a colleague or friend sends you a call or meeting invite during your scheduled focus time, Google Calendar declines it. First, select the focus time you chose, then select the box beside the “decline meetings” option.

Modify or Delete Focus Time

Once you have scheduled focus time on Google Calendar, you can also change or delete it. For example, you may complete your task and no longer need the focus time, or you may need to extend time. But, again, making the change is easy.

First, open Google Calendar. Then, select the focus time you need to change or delete. Next, select either the edit or delete option. To edit, click “edit,” and then make your changes and save. To remove the event, click “delete event.”

Mandarin Oriental Santiago in Luxury Latin America

The Mandarin Oriental hotel chain is one of the most respected luxury brands in the world, but it has had a spotty history in the Americas. While the company has a few properties in East Coast USA cities and one in the Caribbean, there has been a big blank spot in Latin America...until now. They have arrived in South America with Mandarin Oriental, Santiago.

This isn't the first foray into Latin America, but if you blinked, you missed the two they tried to open in Mexico. First there was the one in Mexico's capital city that quickly became JW Marriott Mexico City, which it still is today. The other was in the Riviera Maya, just outside the Mayakoba complex, which we ended up having to review twice when that didn't last either. See an old blog post we wrote about that whole story here. It's now the Blue Diamond luxury beach resort--and quite nice by the way.

We're hoping the third time is the charm for Mandarin Oriental in Latin America because this Santiago property is definitely worth a stay when you arrive in Chile. The building was originally a Grand Hyatt and it has the kind of dated architectural design that brand was famous for: a tower with a big atrium in the middle, the rooms surrounding it. The new company had to do some major renovations to transform it into a top luxury hotel that could compete with the Santiago Ritz-Carlton, so they poured untold millions into it over the course of several years.

While there wasn't much they could do about the bones of the property, the architects made the most of the tall structure's views and the gorgeous garden area with what is now the city's best swimming pool complex.

There's no risk of getting stuck with a room that doesn't have a view at this Santiago hotel and you'll be looking at the gardens, the skyline, or the Andes Mountains from a room that's at least 560 square feet. Only the suites have bathtubs though, so upgrade to one of those if you're looking forward to a soak. The suites also have a private outdoor deck. A presidential suite was still in the works during our inspection, which will be on the top floor.

Another high point of this Santiago luxury hotel is the food and beverage array at two restaurants and several bars.

Senso, with an Italian focus, has indoor and outdoor seating and is also where breakfast is served. Matsuri serves Nikkei dishes, a fusion of Peruvian and Asian cuisine, in a more formal setting. The lobby bar is staffed entirely with award-winning mixologists and is known for inventive gin and tonics.Both the executive chef and the sous chef in the Senso kitchen are Argentinean with Italian heritage and it shows. All pastas and breads are homemade including an excellent focaccia paired with a spicy green extra virgin olive oil that's bottled for the hotel by the Miguel Torres winery. Menu options include grilled rib eye, grilled salmon, risottos, oysters, and many pasta options including a vegan pasta dish.

The highly regarded Chilean winery Viñas Lapostolle is also making three wine selections especially for this Mandarin Oriental's restaurants. A third restaurant is on the way, helmed by a top-name chef, plus a spa that will occupy the second floor was still in the works during our visit.

Santiago is not known for having much of a selection when it comes to large, full-service upscale hotels, so the opening of this property is a major development in the capital of Chile. Follow this link to see more photos and our detailed review of Mandarin Oriental Santiago.

Modern reliance on technology by most companies today means that the same devices that we use for work are also where we get our distractions. Some say it’s not your fault if you often fall victim to technology — many of us have. But come on, you are in charge of yourself, even if the nature of the technology is a constant connection. 

While it may seem like the only solution to manage your time is to spend it away from your devices (which does help, of course), that’s not always possible or even necessary.

Find the productivity you need with some of these hacks for time management that have been proven to work.

1. Stop Letting Tech Suck You In

The truth is that one reason technology distracts us so strongly is because it offers a comfortable, relatively predictable escape from our tasks. If you’re tired from being hard at work for a few hours, why not take a second to look at Instagram? One second can lead to an hour away from your responsibilities — and a lot of the time, it’s not because you’re distracted but rather because you want to relax. And as long as you’re fulfilling your responsibilities, don’t be afraid to enjoy what you enjoy on social. 

Not letting tech suck you in can be done in many ways: cutting off work communications as soon as the day ends, working and relaxing in different rooms, etc. The most important thing is that after hours, you are giving yourself fully to your relaxation needs. When it’s time to return you’ll feel refreshed, alert, and much more able to focus because your needs have already been tended to.

2. Utilize Timers for Each Task

Realistically, the duration of any given task can vary in uniformity and length. But setting a timer creates a new psychological environment, one in which you are present for this amount of time and this amount only, regardless of how long it is. When the timer ends, you are free. Believe it or not, setting a timer requires focus, even if you aren’t sure about the length of time a task will take. However, your timer will help you focus and work faster and makes it easier to stay on task by providing this target of freedom.

Say you have a short story transcript to be edited by the end of the day. You don’t know how long it will take and are avoiding the task out of dread. Instead of scrambling at the last minute, set a timer for one hour, clear your mind of anything but the task (including the deadline), and begin. You’ll find the task to be a little easier when you know better how long it will take — and give a concentrated push to be finished.

3. Create an Environment for Focus

Alongside your timer, try to adapt your surroundings to the task at hand. Keep an open mind at this point because even the smallest change can make a difference for you. You can move a pen that you keep hitting with your arm or move all electronics out of your sight. Part of creating this environment can be put into action in advance as well, even just by outlining a plan for the day and setting the kinds of rules for yourself as mentioned in this article by Calendar.

To continue the previous example, let’s say you’re doing your transcript editing at home. To craft the ideal environment, you can turn off your electronics, dress comfortably, make a cup of tea, put on a sound generator in some sound-dampening headphones, and close everything on your computer but the transcript. Whatever makes you feel focused in your space will work best.

4. Steer Clear of Your Unique Distractions

Read up on distractions and take some notes about the ones that you fall for. Here is a great list of distractions such as this one you can put far away from yourself. Your needs will likely be different from anyone else’s. Chances are, you have particular things that distract you uniquely more than others. It’s easy to forget these distractions are even there, or to get used to them in the space, without being freed from their influence. Take a moment to sit in your space and note everything that draws your attention in a distracting way.

These distractions can take the form of imagery to be changed, like a decoration on the wall, or a bright light shining through your window. Maybe you’ve found that your emotions are distracting you the most, in which case you can take a break to do some mindfulness exercises. You should do everything that you need to make this your space of focus, even if it seems strange or unconventional.

5. Experiment With Your Time Management System

Above all, managing your time is just that — managing your time for the sake of your own productivity. It’s easy to try different methods that many people use, but it can be difficult to stick with them because they aren’t tailored for you. You might find that what works best for you may even be the opposite of what you’ve heard (like letting yourself get distracted so you can come back with fuller focus). In the end, it doesn’t matter what you do as long as it helps you achieve your time management goals.

Remember, the objective is not to implement time-saving methods, but rather, succinctly, to save time itself. Try not to get caught up in common methods that aren’t helping just because they might down the line. The concept of a method that will always help everyone is one of many time-saving myths. Just sit down, look around, and do what you need to do to manage your time.
